The best time to keep a career record is before you need one.

Most people start reconstructing their career history when a review, reorganization, or job search is already in motion. That timing turns ordinary work into a scavenger hunt: old résumés in one folder, project notes in another, and the details that made the work meaningful in memory alone.

A better record starts small and stays private. It is a place to keep the role, the action you took, the result you observed, and the source that helps you inspect the story later.

A useful career entry connects what changed with how it changed. The action is your contribution. The outcome is what happened afterward. The evidence is the document, note, review, or other source that lets you check the wording.

A short capture after a meaningful moment is enough. A monthly review can resolve duplicates, add missing context, and connect demonstrated skills or credentials. A quarterly output can turn the record into a review outline, a promotion case, a learning question, or a focused search lane.

The point is not to document every minute. The point is to preserve the pieces that become expensive to recover once the context is gone.

Your record should not become a public profile by default. It should not turn a résumé sentence into a confirmed fact, invent a missing metric, or let an employer inspect the history you are maintaining for yourself. The person whose career it is decides what becomes canonical and what wording remains a proposal.
