Job description
ABOUT CIRCLEBACK Circleback is building the source of truth for everything said at a company–starting with best-in-class https://time.com/charter/6987522/the-best-ai-note-taking-tools-for-meetings/ AI meeting notes, action items, and search. Every company runs on conversations - meetings, calls, emails - but almost none of that context is usable after the fact. We’re building the platform that captures, organizes, and acts on all of it, so teams can actually use what they know. We're a small team backed by Y Combinator. Profitable, growing virally, and thousands of paying customers including PostHog, Browserbase, Gumloop, and more. WHY JOIN - We ship fast https://circleback.ai/releases with a high bar for quality. - Small team, large problem: the category we're building didn't exist a few years ago. - Profitable and growing virally through word of mouth, not paid acquisition. - Build software people actually love https://circleback.ai/#testimonials and use every day. - Free lunch and dinners, competitive salary and equity. - Flexible health coverage and 401K matching. We're looking for a Chief of Staff who is highly driven, maniacally organized, comfortable with ambiguity, and excited to join us in-person in San Francisco to help build and scale the company. You'll work directly with the CEO and set the cadence for how the company operates. You'll own end-to-end execution on whatever needs to happen–from hiring to new initiatives and day-to-day operations. We're a lean team, which means you'll make the call on what happens and how it gets done. WHAT YOU'LL DO - Take on whatever's breaking, slowing us down, or the bottleneck to our growth - Execute new initiatives and one-off projects for growth, sales, marketing, and partnerships - Hiring–sourcing the best candidates, running interviews/work trials, onboarding new hires - Run inbound sales–product inquires, security questionnaires, demos - Talk to existing and prospective customers - Understand and identify gaps in how we show up in the world and to our customers - Run office operations and handle admin work (payroll, expenses, vendor management, all the stuff that needs to get done) - Build and automate processes and systems as we scale - Operational and keeping-the-lights-on tasks This is a high-leverage role for someone who wants to be a world-class operator. You'll get your reps executing across recruiting, marketing, operations, customer success, and more. As we grow, so will the responsibilities and opportunities for this role. WHO YOU ARE - Bias towards action–You move fast, make calls with limited data, and fix things in real time - Strong operator with startup experience–you've seen how great organizations operate and can execute at that level - High ownership–you own outcomes, not just tasks, and feel it personally when something doesn't ship - Bias towards action and urgency–you have a visceral sense of discomfort when the ball sits in your court too long - Highly autonomous–you make most decisions yourself, don't wait for permission, and move fast - Set the tempo–you establish cadence and pace internally/externally and make sure things happen on time - Extremely organized–you maintain context across many simultaneous projects without dropping balls - Comfortable with ambiguity–you don't need a playbook, you write it and figure out what needs to happen - Strong generalist–you want to get your reps across different disciplines from recruiting to customer research to event planning to operations - No task is beneath you–you'll update the cap table, run payroll, and take pride in optimizing tedious work - Strong product sense and taste–you understand what makes software feel great - Keen eye for efficiency–you hate repetitive work and automate or eliminate it - Love startups–you want the speed, the ownership, the opportunity to build things from scratch
