What the role asks for
What you'd do
- Own interview scheduling and logistics across a high-volume slate of GTM reqs simultaneously, coordinating complex, multi-stakeholder loops (panel interviews, cross-functional debriefs, executive rounds) across candidates, interviewers, and hiring managers.
- Manage intricate interview cycles with multiple stages, shifting priorities, and last-minute changes, rescheduling and re-sequencing without dropping details or slowing momentum.
- Manage and maintain accurate candidate data in Ashby, including pipeline stages, scorecards, and interview feedback, so the team always has a reliable source of truth across every active req.
- Build and maintain interview loops in Ashby, including scorecards, interviewer assignments, and debrief scheduling, for reqs with varying and sometimes non-standard loop structures.
- Draft and send candidate communications across the funnel, from scheduling notes to rejections to offer paperwork, in a voice that reflects the Hightouch brand.
- Support offer processes end to end, including comp approvals, offer letter drafts, and background check coordination.
- Serve as a candidate's day-to-day point of contact, delivering an exceptional experience regardless of hiring outcome, even amid a heavy, fast-moving workload.
- Track pipeline health across multiple reqs at once and surface bottlenecks, flagging where a process is stalling and helping the team fix it.
- Partner with recruiters and hiring managers to keep requisitions, job postings, and approvals current across Ashby and other systems.
- Support recruiters with light sourcing and outreach on select searches, learning how to identify and engage strong candidates.
- Help with market mapping and competitive research (org structures, comp trends, hiring activity) to inform recruiting strategy.
- Build familiarity with the MarTech/data landscape and technical GTM roles (Solutions Engineering, Customer Success Engineering, Technical Account Management) to eventually support sourcing for those functions.
- 2+ years of experience in recruiting coordination, HR operations, or a similarly detail-heavy, high-volume coordination role. Experience managing complex, multi-stage interview loops across many concurrent reqs is strongly preferred.
- Hands-on experience with Ashby is required. You're comfortable managing pipelines, building interview plans, and pulling reporting inside the platform.
- Proven ability to manage high volume without sacrificing quality: you can track dozens of candidates and processes across different stages simultaneously and keep every detail straight.
- Comfort with complexity and ambiguity: non-standard loops, last-minute panel changes, and shifting hiring manager priorities don't throw you off.
- Highly organized with excellent attention to detail.
- A proactive self-starter who takes ownership, spots process gaps, and drives fixes with minimal direction.
- Strong written communication skills, with the ability to write clear, warm, and professional candidate-facing messages.
- A calm, dependable presence under pressure. Fast-moving hiring pushes and last-minute schedule changes don't rattle you.
- Genuine interest in growing beyond coordination into sourcing and eventually full-cycle recruiting.
- A collaborative teammate who enjoys partnering with recruiters, hiring managers, and cross-functional stakeholders.

This role is built for someone who's energized by complexity, not overwhelmed by it: juggling dozens of candidates across different stages, panels, and time zones, while keeping every detail airtight. There's room to grow into sourcing and eventually a full-cycle Recruiter role as you build track record. What you'll do Recruiting coordination • Own interview scheduling and logistics across a high-volume slate of GTM reqs simultaneously, coordinating complex, multi-stakeholder loops (panel interviews, cross-functional debriefs, executive rounds) across candidates, interviewers, and hiring managers. • Manage intricate interview cycles with multiple stages, shifting priorities, and last-minute changes, rescheduling and re-sequencing without dropping details or slowing momentum. • Manage and maintain accurate candidate data in Ashby, including pipeline stages, scorecards, and interview feedback, so the team always has a reliable source of truth across every active req. • Build and maintain interview loops in Ashby, including scorecards, interviewer assignments, and debrief scheduling, for reqs with varying and sometimes non-standard loop structures. • Draft and send candidate communications across the funnel, from scheduling notes to rejections to offer paperwork, in a voice that reflects the Hightouch brand. • Support offer processes end to end, including comp approvals, offer letter drafts, and background check coordination. • Serve as a candidate's day-to-day point of contact, delivering an exceptional experience regardless of hiring outcome, even amid a heavy, fast-moving workload. • Track pipeline health across multiple reqs at once and surface bottlenecks, flagging where a process is stalling and helping the team fix it. • Partner with recruiters and hiring managers to keep requisitions, job postings, and approvals current across Ashby and other systems. Sourcing exposure • Support recruiters with light sourcing and outreach on select searches, learning how to identify and engage strong candidates. • Help with market mapping and competitive research (org structures, comp trends, hiring activity) to inform recruiting strategy. • Build familiarity with the MarTech/data landscape and technical GTM roles (Solutions Engineering, Customer Success Engineering, Technical Account Management) to eventually support sourcing for those functions. What we're looking for • 2+ years of experience in recruiting coordination, HR operations, or a similarly detail-heavy, high-volume coordination role. Experience managing complex, multi-stage interview loops across many concurrent reqs is strongly preferred. • Hands-on experience with Ashby is required. You're comfortable managing pipelines, building interview plans, and pulling reporting inside the platform. • Proven ability to manage high volume without sacrificing quality: you can track dozens of candidates and processes across different stages simultaneously and keep every detail straight. • Comfort with complexity and ambiguity: non-standard loops, last-minute panel changes, and shifting hiring manager priorities don't throw you off. • Highly organized with excellent attention to detail. • A proactive self-starter who takes ownership, spots process gaps, and drives fixes with minimal direction. • Strong written communication skills, with the ability to write clear, warm, and professional candidate-facing messages. • A calm, dependable presence under pressure.
